Brief Summary of Executive Roles
This description is brief and far from exhaustive. A detailed
description of these roles is included in the various Manuals and information
packs supplied by World Headquarters in July, the commencement of the
Toastmaster year. See this club's current
line-up of executives.
President
Head Honcho. Responsible for the successful functioning
of the club and for the ultimate success of each meeting.
The club exists for the benefit and growth of its members
and responsibility for this rests with the President.
Responsible

Overseeing the smooth running and administration
of the club

Ensuring the club has an ongoing membership

Maintaining relationships with District
and Toastmsaters International

Recruiting club executive replacements.

Encouraging communication and leadership
development
Vice President Education
Responsible for the educational attainments of each member and planning
of club activity. Also responsible for inviting guest officials such
as external Judges, test speakers, occasional external General Evaluators
and the like. Stands in for President as and when needed. Stays in
touch with members on a very regular basis, encouraging them in new roles
and speech assignments is an important part of this role - no member
can grow if they are absent or unmotivated for any appreciable
length of time.
Responsible for planning meetings (including Competitions)
and rostoring speeches, workshops, etc. and
Maintains educational / speech achievement records. Pivotal organisational
role preparing and distributing the Meeting Roster. The roster is the
all-important document which governs meetings both generally and specifically.
Displays member achievement chart at all meetings
Periodically delivers 2min TM sessions keeping members informed.
 Vice President Membership
Ensures all guests at meetings receive a Guest/Visitor Pack, due care
and attention, and telephone follow up between meetings.
Maintains overview of Hospitality role at meetings, prepares meeting
Attendance sheets and meeting Badges.
Responsible for encouraging all members on a regular basis to bring
friends, work colleagues etc. to meetings as guests.
Encourages absent members
to attend. Sign up members and forward F400 (Membership
Applications) and fees payment to Treasurer. Periodically delivers
2min TM sessions keeping members informed.
Maintains Visitor Pack stocks.
Vice President Public Relations
Responsible for fostering membership generally. Keeps eyes and ears
open for opportunities to promote Northrise generally. Arranges for promotion
of Toastmasters, mail outs, adverts, promotions. etc. Invites & pursues
visitors to attend meetings. Maintains data base of prospects and follows
up visitors and potential visitors by telephone between meetings. Advises
VPM & Hospitality of expected visitors.
Prepares guest badges for all visitors. Makes guests feel at home
Periodically delivers 2min TM sessions keeping members informed.
Treasurer
Maintains club accounting records and prepares financial reports annually
at the club AGM
Attends to collection of semi annual subscriptions from members and payment
of same to WHQ in April and September. Checks F400s (Membership Applications)
received from VP Membership and arranges for payment to WHQ.
Overseas the financial aspect of the Hospitality function at meetings.
Collects breakfast takings, banks them, and settles Channel View account
and any other creditors.
Sergeant @ Arms
Lays out and packs up of equipment at beginning and end of
meetings - sandwich board (see picture above) and sign, banner, stopwatch,
lights, badges, gavel, attendance sheets, with special emphasis on ensuring
the Hospitality Desk
has Visitor Packs, Receipt Book etc.
Responsible for start/restart of meetings with vim, vigour, energy,
wit and whimsy.

Secretary & Mentoring Officer
Briefs new members on procedure and protocol
Assists members overcome achievement obstacles and mentor
any member requiring assistance.
